Each mailbox can now have seven different scheduled greetings. You can enter or change these yourself or have our professional staff record your greetings.
If your caller needs to talk with a receptionist, we have telephone receptionists ready to help. Your caller can just stay on the line or press zero and the call will be forwarded to our professional receptionists who can then take the message or order and answer questions based on the information you have provided. The receptionist has the ability to then locate you to give you the message or information if you wish.
A caller can leave a message in the general mailbox or specially designed boxes for individuals or specific tasks. You can even have boxes within boxes with boxes!
You can ask the caller (through voice mail) a list of questions to which they can give a verbal response to each. This is great for surveys and screening job applicants, etc.
Callers are able to leave numerical information using their telephone key punch pad where then the data can then be loaded into your database or hard copy reports can be printed out and delivered to you. Doctors have found this very useful for pharmaceutical refills.
Once a message is received, if you wish, we can automatically notify you in many ways:
The system will call your cell phone or any other number you wish. Just answer the call, enter in your password, and listen to your message(s).
The system can digitally notify your digital pager.
The system can notify you by fax.
Each voice message can now be sent by e-mail to your computer as a "wave file."
In the near future, the system can transfer the call to your cell phone or any other phone and continue until it locates the phone where you are located. If you are unavailable, the caller can then leave a message in your voice mailbox or speak with one of our telephone receptionists.
Your messages can be kept as new or saved and stored for various lengths of time depending upon your needs. You can retrieve your secure voice mail messages by calling your mailbox and entering in your password.
This feature allows your callers to retrieve any faxes you might load onto the system. This is great if you have information that callers are always needing- driving directions, service or product information, etc. With Fax On Demand, they can obtain the information by fax and you do not have to interrupt during your hectic day.
